Terms & Conditions

1.Introduction - Dance Promotions Limited will endeavour to ensure that the Event Director will provide all our dance customers with the event featured on Dance promotions Information and detailed and featured in any advertisement (where applicable). 

 2.    Booking and Payment - When booking you are entering into a legally binding contract and accept the terms and conditions laid out in this document.   Provisional bookings should be made by telephone or from our website to ensure that accommodation and tickets are available on the dates required. After receipt of your booking form and deposit we will issue a confirmation at which stage a binding contract comes into effect between you (the client), and us.

2.1  Dance Promotions Ltd will hold your deposit towards the full cost of the event. The Full Balance will be required on the dates advertised on your required booking/package and will also be reminded in the Form of e-mail. This will usually be required 12 weeks before start of the event date, The balance must be received no later than 10 weeks prior to the event. If you do not pay the full cost within the time specified then Dance Promotions Ltd reserves the right to treat that as a cancellation. In such cases you will forfeit the deposit paid and be liable to pay any cancellation charges levied by the Hotel Operator and Dance Promotions cancellation charge of £40.

2.2 By post or e-mail: The Dance Promotions Booking Form must be completed, signed and returned to Dance Promotions office at Dance Promotions Ltd, PO Box 3134, Cardiff. CF30 3DT accompanied by the deposit detailed to the Dance Shop.

2.3 By telephone: The Dance Promotions booking form will be complete on your behalf by a member of the Dance Promotions booking staff and the required deposit payment will be taken by whichever means you supply. 

2.4 Online Order and Payments: you will be able to order direct without any bookings forms online www.fowlerdancepromotions.com and click on the dance shop icon.  You will have the option to pay via Cheque once you have processed your order providing Name and address details you will need to send your deposit cheque or full payment to Dance promotions Ltd, PO BOX 3134, Cardiff CF30 0DT.  Online payment with a credit or debit card will not require an order form, you will need to process your order online following the online instructions which will then take payment from your credit/debit card and be paid direct to Dance Promotions Ltd, you will receive an automatic e-mail with your order number and proof of payment. 

2.5 By Dance Promotions: Occasionally Dance Promotions has to cancel bookings. The main reasons are the Hotel Operator cancelling the event or being cancelled owing to a failure to reach the necessary required number of bookings. Dance Promotions reserves the right to cancel an event at any time if a Hotel Operator cancels the event under the terms of the Hotel Operator’s Booking Conditions contained in the Hotel Operator’s brochure (the “Hotel Operator’s Booking Conditions”) Dance Promotions also reserves the right to cancel an event owing to a lack of bookings by Dancers at any time up to two months before the departure date. If Dance Promotions cancels in such circumstances Dance Promotions will, if possible, offer an alternative Event or refund all monies paid by you but Dance Promotions will be under no further liability.

2.6 By You: If you fail to pay the full cost of the event or if you cancel you will be liable to forfeit the deposit paid (notwithstanding any term to the contrary in the Hotel Operator’s Booking Conditions) and to pay all cancellation charges levied on Dance Promotions LTD.

3 Cancellation by you: You, or any member of your party, may cancel your event at any time providing that the cancellation is made by the person signing the booking form, is communicated to us in writing and sent by recorded delivery. As this incurs administrative costs we shall retain the deposit of the client that cancelled and in addition may apply cancellation charges up to the maximum below.

If cancellation is caused by illness or certain unavoidable causes, the policy may apply.

3.1 Cancellation by us

We reserve the right in any circumstances to cancel your event/holiday and all holidays are subject to a minimum number of participants. We will not cancel your holiday within 8 weeks of the event unless caused by events beyond our control or failure on your part to pay the final balance. In circumstances where we are unable to provide the holiday booked, we will offer to you an alternative holiday of comparable standard.  If this is unacceptable, we will return to you all monies paid.

4 Complaints and Arbitration

In the unlikely event of any problems occurring during your holiday, it must be reported to either the Event Director on site or manager holding the event that weekend thereby giving them the opportunity to remedy the problem.  If the problem cannot be completely solved in the destination, you must write to us within 28 days of your return giving full details of your complaint. If you do not follow this simple procedure it may affect your right to claim against us.

15 Data Protection - In order to process your booking and to ensure that your booking arrangements run smoothly and meet your requirements we need to use the information you provide such as name, address, and special needs/dietary requirements etc. We take full responsibility for ensuring that proper security measures are in place to protect your information. We must pass the information on to the relevant suppliers of your package arrangements such as  hotel, & Ticket sales. The information may also be provided to security companies, public authorities such as customs/immigration if required by them, or as required by law. You are entitled to a copy of your information held by us. If you would like to see this please contact us. We will make a small charge for providing this to you. We will hold your information, where collected by us, and may use it to inform you of offers in the future or to send you brochures. If you do not wish to receive such approaches in the future, please let us know.
